Equine Operations Assistant Manager (EOAM)

Equine Operations Support Staff at the TRF National Headquarters in Saratoga Springs, NY. Non-exempt, Full Time, Hourly. Salary Range $50,000 to $55,000 with benefits.

The Equine Operations Assistant Manager (EOAM) is responsible for supporting the Director of Equine Programs and National Herd Manager to oversee the herd health and infrastructure, as well as program development and sustainability at the numerous TRF locations across the U.S. This includes monitoring the herd across seasonal changes, infrastructure assessment across different regions and program viability in different correctional institutions. In addition, the Equine Operations Assistant Manager is responsible for record keeping of all volunteers involved in direct Herd Care. The Equine Operations Assistant Manager reports directly to the Director of Equine Programs and is responsible for adhering to the overall mission and vision of the organization. This person will be responsible for helping the organization adhere to best practices and TAA/GFAS accreditations. This person should be forward-thinking regarding how TRF can care for our facilities and herd better and be communicative with Management regarding these ideas.
Responsibilities
1. Reports to the Director of Equine Programs and National Herd Manager, maintains open and timely communication, and discloses the conditions, operations, and needs of the TRF herd.
2. Assists the National Herd Manager with all aspects of herd health and exercise programs, including medication management for all herd. Assists with medication monitoring and soliciting grants for medication specific needs.
3. Organizes and tracks all Herd Care volunteers and appropriate paperwork associated with TRF, each state, and individual facility in terms of Corrections Volunteer status requirements. Ensures that appropriate hands-on training has taken place or verified work experience to handle TRF horses. Tracks volunteer Rules and Regulations paperwork for each facility.
4. In conjunction with the Development department, sends bi-annual updates to connections of TRF retired horses that came with financial commitments.
5. Communicates with the individual Farm Managers to provide Horse Sponsorship updates to the Development Team.
6. Assists the National Herd Manager with Adoption Follow-ups on an annual basis and tracking horses who have not submitted necessary paperwork by appropriate due dates. Follow up with adopter references to track down additional information as necessary
7. Track and provide updates to the Director of Equine Programs and National Herd Manager regarding pending due dates of accreditation paperwork, grant applications and grant follow up reports for horse-specific organizations. (Examples: A Home for Every Horse, CARMA, TERF, After the Finish Line…) Ensure that paperwork given to the farms to complete such as Vet References (TAA) or Equine Applications (GFAS) are submitted back to TRF or the applicable organization by the requested dates. Assist with TAA self-inspection visits as necessary.
8. Provides direct oversight of facility asset management including small hand powered tools, tractors and implements. Tracks maintenance schedules for TRF owned equipment to ensure unnecessary breakdowns are avoided, and equipment is serviced according to manufacturer standards.  
9. Works with local facilities to have approved questionnaires submitted by the students in each program at least once, preferably twice per year. Collects and catalogues questionnaire response for Development team. Works with the IRB review board if requested by applicable states. In conjunction with the states, updates yearly statistics regarding students in the programs and their accomplishments.
10. Works with the Development Team to  collect signage for Local Open Barns or events, as well as support for the local farm manager as needed for outside activities (i.e. state fairs, local vendor shows)
11. Solicit product donations intermittently during the year, with a focus on the last quarter, from major supply chains such as Shires, Cashel, Big Dee’s Tack and Supply and Chick’s Saddlery. Works with local facilities such as Lowell Correctional where the women may write their own solicitation letters. Mail out physical donations to the farms as needed when donations are solicited locally. Keep a running inventory of donations available for farm managers to access, and manage the Amazon Wishlists associated with each farm.
12. Assist Farm Managers with Purchase Ordering as needed; acquire photos to update the T’lore website photos; add notes to T’lore when farm managers are not able to access the system. Track and label photos submitted by farm managers and share with the Development Team in a way of best fit with labels and description.
 
Required Skills/Abilities:
1. Excellent knowledge of horsemanship and ability to teach others, required.
2. Degree and/or relevant experience (7 years) in equine-related field, required.
3. Demonstrated ability to assess equine health needs and communicate them with Management.
4. Strong analytical, problem-solving, organizational, and communication skills.
5. Detail oriented and able to follow deadlines.
6. Ability to obtain and maintain a favorable criminal background report.
7. Ability to help manage numerous operating systems and track updates through various software.
 
Work Environment:
1. Work requires occasional physical effort handling materials, up to 50 pounds.
2. Requires sitting and using computer and keyboard for some periods of time.
3. Requires standing and walking for extended periods of time.
4. Some travel may be required; some night and weekend work may be required.
5. Hybrid schedule with a minimum of three days (including Thursdays) in the Saratoga office.
